Booking & Cancellation Policy

At Luxe Proposal NYC Inc., every proposal is carefully planned around our client’s vision. Because we reserve dates, coordinate vendors, secure locations, and prepare customized elements in advance, the following policies apply to all bookings.
1. Reserving Your Date
A minimum 25% non-refundable retainer is required to reserve your proposal date.
Your requested date is not officially reserved or guaranteed until the required retainer has been received and the Client Service Agreement has been signed.
A larger initial payment may be required when Luxe must make advance payments to secure a private venue, photographer, videographer, florist, specialty item, custom décor, rental, permit, or other service.
2. Remaining Balance
The remaining balance must be paid in full no later than one (1) day prior to the scheduled proposal, unless otherwise agreed to in writing.
Accepted forms of payment include:
- Zelle • Wire Transfer • Cash
Failure to submit the required balance may affect Luxe’s ability to provide the scheduled services.
3. Cancellations
The minimum 25% booking retainer is non-refundable once your booking is confirmed.
The retainer reserves your date and allows Luxe to begin planning, coordinating vendors, preparing your experience, and declining other potential bookings for the same date.
Additional expenses that Luxe has already committed to or paid specifically for your proposal may also be non-refundable. These may include:
Venue fees • Vendor deposits • Permits • Custom décor • Florals • Rentals • Specialty products • Other event-specific expenses
If a Client cancels, any potential refund of payments made above the non-refundable retainer and committed expenses will take into consideration services already performed and costs already incurred by Luxe.
4. Rescheduling
We understand that unforeseen circumstances can occur.
When a qualifying unforeseen circumstance requires a change, Luxe will first attempt to accommodate a different time on the originally scheduled date.
If a reasonable alternative time is unavailable, Luxe may permit one date change, subject to Luxe’s availability and the availability of the venue and participating vendors.
A rescheduled proposal may be subject to additional expenses when venues, vendors, rentals, florals, permits, or other services cannot be transferred to the new date.
5. Weather
For outdoor proposals, weather can sometimes require adjustments.
In the event of rain, snow, excessive wind, unsafe conditions, or other significant weather circumstances, Luxe may work with the Client to:
Adjust the proposal time • Move to an appropriate indoor location • Modify the setup • Reschedule when reasonably necessary
Our goal is always to preserve the proposal experience whenever reasonably possible while prioritizing safety.
Weather does not automatically constitute a cancellation or entitle the Client to a refund. If rescheduling becomes necessary, the rescheduling terms above will apply.
6. Client Lateness
We understand that traffic, parking, transportation, and unexpected delays can occur. However, arriving late may affect venue access, photographers, videographers, special effects, lighting, sunset timing, and other scheduled services.
A $100 late fee may be charged for each 30-minute period of Client delay.
Luxe cannot guarantee that venue or vendor time can be extended due to Client lateness. Any additional venue, vendor, staffing, or overtime charges caused by Client delay may be the Client’s responsibility.
7. Venues & Third-Party Costs
Private venues, photographers, videographers, florists, musicians, rental companies, and other vendors may maintain their own cancellation and rescheduling policies.
Once Luxe has committed funds to a third party on the Client’s behalf, those amounts may become non-refundable or non-transferable.
When possible, Luxe will make reasonable efforts to transfer or recover such payments, but recovery cannot be guaranteed.
8. Changes To Your Proposal
We are happy to accommodate reasonable changes whenever possible.
Requests to add or materially change décor, photography, videography, location, florals, special effects, or other services may result in additional charges.
Any additional pricing will be communicated to the Client before the requested service is added.
9. Special Effects & Location Restrictions
Cold sparklers and other special effects are subject to venue approval, applicable laws, permits, weather, and safety requirements.
Public and private locations may also impose restrictions outside Luxe’s control.
If a planned element cannot legally or safely be provided, Luxe will make reasonable efforts to offer an appropriate alternative where possible.
10. Client Service Agreement
This page provides a general summary of Luxe Proposal NYC’s booking and cancellation policies.
All confirmed bookings are also subject to the Client Service Agreement signed by the Client. If there is a conflict between this website policy and the Client’s signed Client Service Agreement, the signed Client Service Agreement will control with respect to that booking, to the extent permitted by applicable law.
